The exhibition is a vital part of the WVAC 2018 Congress. Every effort will be made to ensure that all exhibitors receive prime exposure and direct marketing opportunities with key players and decision makers in the field.

Efforts include but are not limited to:

  • Welcome Reception on the evening of the first day in the Exhibit Hall
  • Morning and afternoon Coffee Breaks in the Exhibit Hall on all Congress days
  • Delegate Lounge, Charging Station, and Poster Viewing in the Exhibit Hall on all Congress days

Level sponsors have first choice in selecting booth location, followed by exhibitors on a “first-paid, first-served” basis. No exhibitor may sub-let or share with another exhibitor.

Non-profit space

Exhibitors who are defined as not-for-profit organizations are eligible to receive a reduced exhibit price of EUR 1,500 (EUR 2,000 after December 15, 2017) for a maximum of one (1) 6-m2 exhibit space. Assignment of space will be confined to a specific area on the floorplan. Not-for-profit exhibitors do not have the option to choose space in other locations on the exhibit floor at this reduced rate. Additional booths will be charged at the regular booth rate.

Congress Program Support (click to expand)

The Congress offers several opportunities for your organization to support a Plenary or Concurrent Session in the Scientific Program.

Support includes acknowledgement on the Congress website, in the onsite program, and on any Congress schedule when relevant. It also includes your logo on screen and verbal acknowledgement by the moderator at the beginning and end of the session.

Concurrent Session EUR 7,500 each
There will be up to 6 concurrent sessions per time slot, up to 6 times a day.

1 The Congress Secretariat will send emails to more than 4,000 interested parties on a regular basis prior to the event to update on newest developments about the Congress. Your custom banner will be displayed in the body of the e-blast.

Meeting Space EUR 3,000 per day
Limited meeting/office space is available at the Centre de Convencions Internacional de Barcelona (CCIB) for you to host reviews, hospitality suites, staff offices, press rooms, etc.
The office/meeting space comes with basic AV package, including projector and screen. Contact the Congress Secretariat for availability.
Message Board (Exclusive) EUR 3,000
The Message Board will be located at the registration desk and will be a central reference point for all Congress delegates to leave and retrieve messages.

As the exclusive sponsor of the Message Board, you will:

  • Have your logo displayed on the Message Board
  • Have the opportunity to provide a freestanding banner which will be positioned next to the Message Board (maximum size 2m high x 1m wide)
  • Be acknowledged as the Sponsor of the Message Board with your logo in the Onsite Program
Poster Session (3 available) EUR 3,000 each
Abstracts accepted for poster presentations will be displayed on poster boards in the Exhibit Hall every day. Presenters will be present during refreshment breaks on the day of their Poster Session to answer questions and discuss their research with delegates.

As the sponsor of one of the Poster Sessions, you will:

  • Have the opportunity to position one or two custom free-standing banners in the Poster area on your selected day (banner(s) supplied by Sponsor; maximum size 3’ x 5’)
  • Have your logo displayed on table top cards on all food and beverage stations during the Guided Poster Session on your selected day
  • Be acknowledged as the Sponsor of the selected Poster Session with your logo in the Onsite Program
Delegate Bag Item EUR 3,000 each
A marketing item of your choice will be included in each delegate bag and after being used at the Congress, will be carried away to many different countries. Production and shipping costs are the responsibility of the Sponsor. The item could be:

As the sponsor of this Delegate Bag Item, you will:

  • Have the opportunity to provide your custom-branded marketing item for inclusion in the delegate bags

Refreshment Breaks (6 available) EUR 3,000 each
Networking opportunities are among the most important reasons the delegates attend the Congress. Each day, the Congress will provide snacks and refreshments during the morning and afternoon breaks, served in the Exhibit Hall for all attendees free of charge.

As the sponsor of one of the Refreshment Breaks, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected Refreshment Break
  • Be acknowledged as the Sponsor of the selected Refreshment Break with your logo in the Onsite Program
Staff & Volunteer Shirts (Exclusive) EUR 4,000
Over 50 staff and volunteers are necessary to ensure the Congress runs smoothly. All support staff and volunteers wear shirts for clear identification.

As the exclusive sponsor of the Staff & Volunteer Shirts, you will:

  • Have your logo on the shirts along with the Congress logo
  • Be acknowledged as the Sponsor of the Staff & Volunteer Shirts with your logo in the Onsite Program
Hotel Room Key Cards (4 available) EUR 5,000 each
Several hotels contracted by the Congress Secretariat offer the opportunity to custom brand their hotel key cards. This is a unique opportunity to put your branding in the hands of most delegates. Please note that the sponsorship price does not include the production of the key cards. This item is only available to official Level sponsors of the Congress.

Each day, the Congress will offer a luncheon, served in the Exhibit Hall for all attendees free of charge.

As the sponsor of one of the Luncheons, you will:

  • Have table top cards with your logo on all food and beverage stations during your selected Luncheon
  • Be acknowledged as the Sponsor of the selected Luncheon with your logo in the Onsite Program
Delegate Lounge (Exclusive) EUR 7,000
A Delegate Lounge will be located in the Exhibit Hall to provide delegates with a comfortable seating area to conduct meetings, check emails or simply to study the Congress program.

As the exclusive sponsor of the Delegate Lounge, you will:

  • Have the Delegate Lounge branded with your logo or custom design
  • Have the opportunity to position a custom free-standing banner in the Delegate Lounge (banner supplied by Sponsor; maximum size 3' x 5')

All speakers and oral abstract presenters are required to report to the Speaker Preview Room to submit their slides prior to their presentation. The Speaker Preview Room will be equipped with more than 10 computer stations.

Each registered delegate will receive a USB memory stick with the collection of all abstracts submitted and accepted for presentation at the Congress. It will be handed out when the delegates pick up their registration package.

  • Have your logo displayed on the outside of the USB stick

Charging Lounge (Exclusive) EUR 10,000
The Charging Lounge will allow attendees to power up their mobile phones, tablets, laptops, and other electronic devices for free. This station will be in high demand and can be placed in the Exhibit Hall near your booth.

As the exclusive sponsor of the Charging Lounge, you will:

  • Have the Charging Lounge branded with your logo or custom design

The Presidential Dinner will take place on the evening of Tuesday, May 8 (TBC). This event will be by invitation only and a unique opportunity to mingle with top decision makers.

  • Receive three (3) complimentary tickets to the Presidential Dinner

Wireless Internet (Exclusive) EUR 15,000
Wireless internet will be available throughout the Centre de Convencions Internacional de Barcelona (CCIB) at no charge allowing delegates to use the Congress Onsite Mobile App to view the scientific program, access abstracts, or connect with other delegates and colleagues.

As the exclusive sponsor of the Wireless Internet, you will:

  • Have your logo displayed on all relevant signage associated with the wireless internet
  • Have your custom graphic displayed on the access page of the wireless network

Lanyards (Exclusive) EUR 20,000
All delegates will receive a name badge and lanyard to be worn for identification during the Congress.

As the exclusive sponsor of the Lanyards/Badge Holders, you will:

  • Have your logo on all lanyards along with the Congress logo (lanyards provided by Congress Secretariat)
  • Be acknowledged as the Sponsor of the Lanyards/Badge Holders with your logo in the Onsite Program
Onsite Mobile App (Exclusive) EUR 20,000
The Onsite Mobile Application will be provided to delegates free of charge and will be available for most iOS, Android and Blackberry mobile devices. The mobile app will include the full scientific program, the exhibit floorplan including exhibitor biographies, and general Congress, venue and local information. Timely updates about any onsite program changes or important announcements will be sent through the app via notification alerts.

As the exclusive sponsor of the Onsite Mobile App, you will:

  • Have your logo and 50-word write-up displayed in a Sponsored App Section
  • Have the opportunity to have one (1) pinned Promoted Message + one (1) post per day
  • Be acknowledged as the Sponsor of the Onsite Mobile App with your logo in the Onsite Program
Delegate Bags (Exclusive) EUR 30,000
All registered delegates will receive a delegate bag with the Congress materials such as the Onsite Program, seminar information, etc.

As the exclusive sponsor of the Delegate Bags, you will:

  • Have your logo on the delegate bag or strap along with the Congress and WVA logos (bags provided by Congress Secretariat)
  • Have the opportunity to include a promotional insert in the delegate bag (supplied by Sponsor; insert to be approved by Congress Secretariat)
  • Be acknowledged as the exclusive sponsor of the Delegate Bags with your logo in the Onsite Program
Congress Dinner (Exclusive) SOLD
The Congress Dinner will take place on the evening of Monday, May 7 at the Museu Nacional d'Art de Catalunya (MNAC). All delegates are invited to attend this event at a nominal charge, and are welcome to purchase additional tickets for guests.

As the exclusive sponsor of the Congress Dinner, you will:

  • Receive six (6) complimentary tickets to the Congress Dinner
  • Have your logo placed on the tickets and menu cards, as well as on signage on site
  • Be acknowledged during the event as the Sponsor of the Congress Dinner, as well as with your logo in the Onsite Program and on the website

To reach a sponsorship level, you can:

  • pick "a-la-carte" items from the options above (exhibit items as well as sponsorship/marketing items), or
  • make a general contribution to the Congress, or
  • choose a combination of these two options: if the total of your "a-la-carte" items doesn't reach the minimum amount for the sponsorship level of your choice, simply add a general contribution amount.

Hotel Accommodation: Book Official!

The Congress Secretariat (International Conference Services Ltd.) is the official housing bureau for WVAC 2018 and will coordinate housing for the Congress. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Congress by booking accommodations via the official Housing Bureau. Priority selection of hotel rooms will be offered to sponsors.

The Congress Secretariat retains the right to downgrade sponsorship levels if sponsors do not book through the official Housing Bureau. Full rates are available on the website.
